Special Events and Trade Show Movements

With the implementation of NAFTA and the reduction of tariffs on many imported goods, the Mexican consumer has been purchasing U.S. and Canadian goods at record numbers. Recent studies have shown that 15% of each peso earned in Mexico is spent on imported goods.

Many U.S. manufacturers and distributors are fully aware of the potential, but are uncertain on how to enter into this market. They don't know how to get "product exposure" south of the border.

Mexican trade shows, from our own company's past experience, are one of the best ways to get your product or service known. Every month these shows occur in the major industrial and resort cities.

Bill Hay International has been serving exhibitors at trade shows for over five years. We help you take all the guess work out of shipping your booth and exhibit materials - regardless of size, shape or weight. We also can help with the customs and freight forwarding on trade show shipments with our broker / associates at the border or airports. If the show producers have an authorized or an official freight forwarder, we can also coordinate with them.

Here are seven proven tips for assuring your materials are delivered on time at the right place and price:
1. Documentation. Don't underestimate the importance of the commercial invoices. You most likely will need two (one for the consumables and give-aways and another for the booth and anything returning back to the U.S.).
2. Transit time. Make sure to allow at least 2 weeks lead time from the gateway to the venue.
3. Get Personal. Know who the freight forwarding agent is. Be sure to comply with all his requests.
4. Budget properly. Normally, all customs duties, freight forwarder, custom broker fees, and transportation charges are due and payable before the materials enter Mexico.
5. Cargo Insurance. Protect your shipment from loss or damage. Unless requested, Mexican transportation companies do to carry insurance.
6. Packaging. No international packaging or crating is necessary - save your money. Pack your freight as you would a domestic move, but make sure all model and serial numbers are visible or can easily be reached.
7. Pre-planning. If you're going to invest in trade show ventures in Mexico, you need a partner who will stand by you 100%. Bill Hay International will give you 110%.
